How the Integration Works

Google Meet recordings are saved directly to Google Drive in a folder called "Meet Recordings". XMOX connects to your Google account via OAuth, monitors that folder, and imports new recordings as they appear — typically within 5–10 minutes of the meeting ending.

Recording in Google Meet requires a Google Workspace account (Business Starter, Standard, Plus, or Enterprise). Personal Gmail accounts do not have recording enabled by default. Contact your Google Workspace admin if the record button is not visible in your Meet interface.

Prerequisites

  • A Google Workspace account with recording enabled by your admin.
  • Recordings set to save to Google Drive (this is the default).
  • The Google account you connect to XMOX must be the meeting host — only the host's Drive receives the recording file.

Connecting Google Meet to XMOX

Open your XMOX workspace and click your profile icon in the top-right corner.

Click "External Sources" in the dropdown.

Find the Google Meet card and click "Connect".

A Google sign-in window opens. Select your Google Workspace account and sign in.

Google will ask you to allow XMOX access to Google Drive. Click "Allow". XMOX only reads from your Meet Recordings folder — it does not access or modify other files.

You are redirected back to XMOX. The Google Meet card shows "Connected" with your Google email.

How Recordings Are Imported

  • When a meeting ends, Google processes the video (this takes a few minutes on Google's side).
  • Once the file appears in your "Meet Recordings" Drive folder, XMOX detects it automatically.
  • The recording is imported into your XMOX job list with the Google Meet icon. The job name defaults to the meeting title.
  • Processing (transcription + AI indexing) typically completes within 5–10 minutes after the file is detected.

Viewing Imported Recordings

Imported meetings appear in your XMOX job list with the Google Meet badge. Open any job to see the full transcript, use AI Q&A, and export notes. You can also share the job with teammates directly from XMOX.

Disconnecting

Open External Sources from the account menu.

Click "Disconnect" on the Google Meet card and confirm. XMOX stops monitoring your Drive folder immediately.

Troubleshooting

  • Recording not appearing after 15 minutes: confirm the recording is visible in your Google Drive under "Meet Recordings". If the folder is missing, recording may not be enabled for your account — check with your Workspace admin.
  • Wrong Google account connected: disconnect and reconnect, making sure to select the correct account in the Google sign-in window.
  • Token expired: Google OAuth tokens may expire. If recordings stop importing, disconnect and reconnect to refresh the token.
