How the Integration Works
Microsoft Teams stores meeting recordings in OneDrive (for 1:1 and ad-hoc meetings) or SharePoint (for channel meetings). XMOX connects via Microsoft OAuth and receives notifications when new recordings are added to your account. The recording is then downloaded, transcribed, and made available in your XMOX job list — typically within 5–10 minutes of Teams finishing the upload.
Recording in Microsoft Teams requires a Microsoft 365 subscription (Business Basic or higher) and the recording policy must be enabled by your Teams admin. If you do not see a recording option in Teams meetings, contact your IT administrator.
Prerequisites
- A Microsoft 365 account with Teams recording enabled by your admin.
- Recordings must be stored in OneDrive or SharePoint (the default for most organisations — expiring meeting link recordings are not supported).
- Both channel meetings and 1:1 / group calls are supported.
Connecting Teams to XMOX

Open your XMOX workspace and click your profile icon in the top-right corner.

Click "External Sources" in the dropdown menu.

Find the Microsoft Teams card and click "Connect".

A Microsoft sign-in window opens. Sign in with your Microsoft 365 work or school account.

Microsoft will request permission for XMOX to read your OneDrive and SharePoint files. Review and click "Accept".

You are returned to XMOX. The Teams card shows "Connected" with your Microsoft email address.
If your organisation requires admin consent for third-party apps, you may see a message saying "Need admin approval". In that case, ask your IT admin to pre-approve the XMOX app in the Microsoft Entra ID portal, or use a personal Microsoft account for testing.
How Recordings Are Imported
- When a Teams meeting ends and recording processing finishes (a few minutes on Microsoft's side), the MP4 file is placed in OneDrive or SharePoint.
- XMOX detects the new file and begins importing it automatically.
- The job appears in your XMOX list with the Teams icon. The meeting subject line becomes the job name.
- Transcription and AI indexing completes within minutes of import.
Channel Meetings vs. 1:1 Calls
- 1:1 and ad-hoc meetings: recordings go to the organiser's OneDrive under Recordings.
- Channel meetings: recordings go to the SharePoint document library of the channel's team.
XMOX monitors both locations after connection. No extra configuration is needed.
Disconnecting

Open External Sources from the account menu.

Click "Disconnect" on the Teams card and confirm. New recordings stop being imported immediately. Previously imported jobs remain in your workspace.
Troubleshooting
- Recording not appearing after 15 minutes: verify the recording is visible in your OneDrive under the "Recordings" folder. If not, recording may not be configured correctly in your Teams admin policy.
- Token expired or revoked: Microsoft tokens can expire or be revoked by your admin. If imports stop, disconnect and reconnect to refresh authentication.
- Only some meetings imported: XMOX only imports recordings associated with the connected account. If a colleague organises and records the meeting, they need to connect their own Microsoft account.
