How the Integration Works

XMOX connects to Zoom via OAuth and registers a webhook. When a cloud recording finishes processing in Zoom Cloud, Zoom sends XMOX a notification and XMOX immediately downloads and transcribes it. The whole process typically takes 2–5 minutes after Zoom marks the recording as ready.

Only cloud recordings are imported — not local recordings saved to your computer. Make sure cloud recording is enabled in your Zoom account settings.

Prerequisites

  • A Zoom account (Pro, Business, or Enterprise — cloud recording is not available on the free plan).
  • Cloud recording enabled for your account. To check: sign in at zoom.us → Settings → Recording → Cloud recording (toggle on).

Connecting Zoom to XMOX

Open your XMOX workspace and click your profile icon in the top-right corner to open the account menu.

Click "External Sources" in the dropdown menu.

In the External Sources panel, find the Zoom card and click "Connect".

You will be redirected to zoom.us to authorise XMOX. Sign in with your Zoom account if prompted, then click "Allow".

You are redirected back to XMOX. The Zoom card will now show "Connected" with your Zoom email address.

Viewing Imported Recordings

After the connection is established:

  • New cloud recordings appear automatically in your XMOX job list, labelled with the Zoom icon.
  • The job name defaults to the Zoom meeting topic. You can rename it inside XMOX.
  • Each imported recording is processed exactly like a manually uploaded file — full transcript, AI Q&A, and export options are available.

Disconnecting Zoom

Open External Sources from the account menu.

Click "Disconnect" on the Zoom card.

Confirm the disconnection. XMOX will stop receiving new recordings immediately. Existing jobs are not affected.

Troubleshooting

  • Recording not appearing after 10 minutes: check that the recording type is "Cloud" in Zoom — local recordings are not sent to XMOX. Also verify in zoom.us → Recordings that the recording has finished processing.
  • Connection lost: Zoom OAuth tokens expire or get revoked if you change your Zoom password. Simply reconnect by clicking "Connect" again.
  • Only host recordings? XMOX imports recordings made by the account you connected. If a colleague hosts the meeting, they need to connect their own Zoom account, or use Zoom's cloud recording share settings.
